AI for real estate agencies

In a real estate agency, AI pays off where repetitive work steals time from the deal: writing consistent listing descriptions, answering and qualifying incoming inquiries, extracting data from records, floor plans and contracts, and matching client requests to properties in your portfolio. It does not replace the agent in the negotiation and relationship: it removes the mechanical part around it. You start from one process, with a no-commitment diagnosis.

01 Where does AI help a real estate agency?

The fastest return is on four fronts: listing descriptions, to write and adapt for each portal; incoming inquiries, often repetitive and to qualify quickly before the lead goes cold; documents (records, floor plans, energy certificates, contracts) to extract data from by hand; and matching what the client wants to what you have in portfolio. These are high-volume tasks that occupy the agent today, taking time away from the deal.

Where there is repetition, AI frees up time; where the relationship, the negotiation and commercial judgment are needed, the agent stays. You begin with the process that has the clearest return, usually inquiry handling or listing descriptions.

AreaTypical symptomWhat AI does
Listing descriptionsText written and reworked by hand for each property and portalPreps description drafts from property data, which the agent reviews
Incoming inquiries and leadsRepetitive contacts to qualify quickly, some lostAn assistant answers, gathers data and qualifies, handing hot cases to the agent
Real estate documentsData copied by hand from records, floor plans, energy certificates, contractsExtracts the required fields and returns them structured, ready to use
Client-property matchingManual search across the portfolioSearches the portfolio by criteria and proposes the most relevant properties

02 How do you handle and qualify incoming inquiries?

Inquiries arrive from portals, your site and email at all hours, many with the same questions about a property. An AI assistant answers immediately from your data, gathers the useful information (budget, area, needs) and qualifies the contact, handing hot leads to the agent with context ready. It helps agencies that receive many contacts and risk replying late today, losing opportunities.

The assistant does not close the deal or replace the client relationship: it prepares the ground, so the agent reaches the inquiry already informed and responsive, when it matters most.

03 How do you extract data from records, floor plans and contracts?

From records, floor plans, energy certificates, contracts and cadastral documents, AI extracts the fields you need — cadastral data, areas, amounts, references, deadlines — and returns them structured, ready for your system or a spreadsheet. It understands context and works on non-standard documents too, unlike rigid legacy OCR, reducing manual retyping.

The extracted data still has to be verified: AI preps, the agent checks and takes responsibility for what goes into an offer or a contract. The goal is to remove data entry, not decisions.

04 When is AI NOT worth it in a real estate agency?

It is not worth it where volumes are low: with few properties and few contacts, automation returns little. And it does not replace the negotiation, the property valuation and the client relationship, which stay with the agent. AI pays where there is high-volume repetition around data and documents.

That is why the initial diagnosis is honest: if in your case the return is not clear, we tell you before starting any project.

» Start with a no-commitment diagnosis: we look at your inquiry flow, listings and documents, then tell you honestly where AI is worth it in your agency. The case first, the number after.
// frequently asked
Can the AI assistant answer property inquiries around the clock?

Yes. The assistant answers incoming inquiries from your data, gathers budget, area and needs and qualifies the contact, even outside business hours. It then hands hot leads to the agent with context ready, without replacing the negotiation.

Does AI write listing descriptions for me?

AI preps description drafts from property data, in the tone you prefer. A person reviews them before publishing: automation removes the repetitive part of writing, not the final control.

Does AI integrate with the real estate software I use?

Yes. AI connects to the software and portals you use through APIs or the files you export, to read your portfolio and property data. It adapts to the tools you already have, without forcing you to change them.
