Preparing quotes automatically with AI
Repetitive quotes can be prepared automatically: AI reads the request — email, form or attachment — recognizes what is needed, applies your price lists and pricing rules and preps the quote draft, leaving review and sending to a person. It helps those who produce many similar quotes and rebuild them by hand each time, risking slow replies and inconsistent prices. It does not decide discounts and negotiation: those stay with you.
01 How do you automate quotes with AI?
AI reads the incoming quote request, recognizes products or services, quantities and customer references, applies your price lists and the pricing rules you have defined, and preps the quote draft ready to review. Nothing is sent until a person checks and confirms. It removes the repetitive part — looking up prices, retyping line items, formatting — not the commercial decision.
It helps those who produce many similar quotes (installations, supplies, recurring services) and compile them by hand from scratch each time, with long response times and the risk of applying prices or terms that are out of date.
| Before | With AI |
|---|---|
| The request is read and interpreted by hand | AI reads the request and recognizes line items, quantities and customer |
| Prices are looked up in the lists one by one | It applies your price lists and pricing rules automatically |
| The quote is formatted from scratch each time | It preps the draft ready to review and send |
| Slow replies, risk of inconsistent prices | Fast, consistent replies; confirmation stays with a person |
02 How does it work, step by step?
The flow has four steps. One: AI receives the request (from email, site form or attachment) and extracts what is needed. Two: it matches the line items to your products or services and retrieves prices from the lists. Three: it applies the rules you defined — tiers, terms, variants — and composes the draft. Four: the draft reaches a person who verifies it, adjusts the negotiation and sends.
When a value is ambiguous or a line item finds no match, AI does not guess: it flags the point and leaves the decision to the operator. So speed does not come at the expense of price accuracy.
03 What does it integrate with?
It integrates with your price lists (Excel, CSV or the system's), with the management system or CRM where customer records and terms live, and with the inbox or form where requests arrive. It reads and writes where you already work, via APIs or the files you export, without forcing you to change software.
Every project starts from a diagnosis of your real price lists and pricing rules: which line items recur, how tiers are formed, which customer terms exist. From there we define the most robust automation, faithful to your rules.
04 When is automating quotes NOT worth it?
It is not worth it when every quote is a one-off project, with prices born of a negotiation or a case-by-case technical estimate: there are no recurring rules to automate there. And it does not replace negotiation, discounts and commercial judgment, which stay with people. AI pays where quotes are many and similar, based on stable price lists and rules.
That is why the initial diagnosis is honest: if your quotes have no recurring structure, we tell you before starting any project.
Is the quote sent to the customer without review?
No. AI preps the draft, but nothing is sent until a person verifies and confirms it. It removes the repetitive part — looking up prices, composing the document — not the review and negotiation, which stay with you.
Does AI use my price lists and pricing rules?
Yes. It applies your price lists (Excel, CSV or the system's) and the pricing rules you define with us — tiers, customer terms, variants. When a line item is ambiguous or finds no match, it flags it instead of guessing.
Do I have to change my ERP or CRM to automate quotes?
No. The automation integrates with the management system, CRM and price lists you already use, via APIs or the files you export. It adapts to your tools, with no migrations.
