Shipping and accounting: two worlds, one system
Goods leave, the document follows them, the invoice arrives a month later and someone has to make all three agree. In between: different couriers, different portals, different formats. This is how that triangle became a single system. Names and identifying details are withheld: some of these projects were commissioned by third parties.
01 Where it started
Shipments tracked on spreadsheets, each courier with its own portal and its own file layout, transport documents filed in a folder and accounting chasing them at month end. When a customer called to ask where their goods were, the answer took three screens and a bit of luck.
The most expensive point, though, was reconciliation: matching what shipped, what the courier invoiced and what the customer was charged. Work nobody enjoys, done under pressure at month end, where mistakes surface late.
02 What was built
A system that holds the whole cycle together: the shipment is born from the order, carries its document with it, updates its own status and reaches accounting already linked to everything else. One place to look, whichever courier did the carrying.
The difference from bolting together several ready-made tools is exactly this: data is not imported and reconciled afterwards, it is born connected. That is why custom software, when the processes really are yours, costs less to maintain than three products that talk to each other badly.
03 What it does today, with AI
AI reads the documents arriving from outside — transport documents, courier invoices, manifests — and extracts what is needed to close the loop, with nobody retyping. On reconciliation it does the tedious part: it lines up the rows that match and highlights the ones that do not, which are the only place a person is genuinely needed.
In practice, anomalies show up when they happen rather than at month end: an off-tariff charge, a shipment invoiced twice, a declared weight that does not match. That is money that used to be lost simply because nobody had time to check everything.
Across this family of systems the measure is the same as the other processing projects: processing hours halved, 50% of the repetitive work automated. Over a year that is tens of thousands of euros of resources coming back for other things.
04 If this sounds like you
The symptom is the question "where is this shipment?" costing more than thirty seconds, or a reconciliation that eats days at month end. You do not need to change couriers or redo your accounting: you need the three pieces to stop being three separate archives.
If someone compares two lists row by row every month, that is the process to put on the table first. It is also one of the cases where the return is quick to calculate, because the hours are countable.
Does it work with several couriers using different file layouts?
Yes, and that is precisely why AI helps: non-standard formats are the problem it solves. Each courier keeps its own way of communicating, the system normalises what arrives and brings it back to one shape.
Do I have to change my accounting software?
Usually not. The system prepares the data in the shape your accounting expects, or writes it straight where it belongs. Changing accounting software is a decision to take for its own reasons, not for this project.
